Raising the service request in DE Services Portal
This guide shows you how to raise a service request to change the access to a website or application URL. The ‘School URL access or block request’ service request is newly created as part of the changeover of DE filtering providers.
Some gathering of information before raising the request is advised, as is briefing the Principal prior to the service request being submitted, as the ‘Principal approval’ step is a required action.
It is important that the Principal undertakes the approval step for process governance and to allow the request to proceed to the service provider group to be actioned.
Preparation
Selecting Appropriate Materials – Questions to ask
1. Are the proposed materials/themes within the resource likely to be regarded as highly offensive or obscene by the school community?
2. Have the proposed materials been created by an inappropriate organisation(s) for classroom use?
3. Are the proposed materials/themes within the resource controversial or likely to be regarded as inappropriate by some students or their parents, for example, on cultural or religious grounds?
4. Are the proposed resources prescribed or suggested as VCE texts by the VCAA?

Analysis & information gathering
Determine the reason for raising the Service Request, options are:
- Directly related to a curriculum topic – the website/application has been identified as an aid
to the teaching and learning effort. - Special teaching and learning exercise – the website/application has been identified for a
specific exercise of the teaching and learning effort. - Extracurricular activity – Used for supplementing the teaching and learning curriculum.
- Other – Please add text to support selecting Other
Logging a Service Request
1. Login to the ServiceNow DE Services Portal
2. Click on the Service Request option
3. Select the Schools category, then select the School URL access or block request option/square, which opens the service request form, the requestor details default to your user details, as the requestor.
4. Complete the following sections of the form.
Confirm Requestor
Confirm Requestor Details, add contact phone number.
Select the school from dropdown list or start typing the school’s name and select.
Principal Approval
Service Requestor approver confirmation
The default approver is the school principal, enter the principals name for the school selected. Adjust if required by typing the actual principals name and select.
Details of the request
Select Whitelist radio button
In the free text field titled ‘URL’ add the full URL e.g., https://… or www.
Select reason for requesting the change from predefined dropdown options which are:
- Directly related to a curriculum topic
- Special teaching and learning exercise
- Extracurricular activity
- Other – Add text to support selecting Other.
There is a need to attest to having undertaken an assessment of the Teaching and Learning appropriateness of the requested site
5. To submit the Service Request, check the tick box to progress to Principal approval step.
